About the role

 

The Administrator will play a key role in ensuring the smooth running of Inspirate’s financial and administrative operations. This role is ideal for someone highly organised, detail-oriented, and comfortable managing budgets, financial records, and office systems.

​

Working closely with the Finance Director and Executive Team, the Administrator will be responsible for bookkeeping, document management, scheduling, and supporting the overall efficiency of the organisation. The successful candidate will help maintain accurate financial records, coordinate meetings, and contribute to improving administrative processes.

​

Key Responsibilities

​

  • Manage company bookkeeping procedures, including electronic finance filing systems, incoming and outgoing invoices, receipts, and other financial documentation. 

  • Work closely with the Finance Director and Producers to monitor multiple budgets across the organisation, ensuring all financial information is accurate and up to date. 

  • Collaborate with Inspirate’s Executive Team to review and enhance financial procedures, identifying opportunities for process improvements and efficiency. 

  • Create and manage spreadsheets, databases, reports, and presentations to support financial and administrative functions. 

  • Schedule and coordinate meetings, travel, and accommodation arrangements for the Executive Team. 

  • Take detailed notes during meetings and distribute actions as needed.

  • Analyse financial data and generate statistical reports where required. 

 

 

Essential Skills & Experience 

​

  • Strong computing skills, with proficiency in Microsoft Excel and Google Sheets.

  • Excellent numeracy and communication skills (both verbal and written).

  • Experience in managing filing systems and document organisation.

  • Proven ability to manage budgets across multiple projects. 

  • Strong time management, organisational skills, and attention to detail.

  • Demonstrated commitment to and passion for diverse arts and culture.

  • Experience as an Administrator or in a similar secretarial role.

  • Knowledge of office management systems and procedures. 

  • Experience in financial planning, cash flow management, and bookkeeping.

  • Ability to multitask, prioritise workloads, and work efficiently under deadlines.

  • High-level writing and communication skills.
